What is the difference between copyediting and proofreading? In short, copyediting is the next step after your text has been written and the content has been approved within your company. Copyediting gets you from the final draft produced by the writer to a text that’s polished and that you’ll be proud to publish on your website or share with stakeholders. Proofreading is a further step that happens after your content has been formatted and the visual layout is complete. For example, if you produce a white paper, proofreading would happen after you’ve already laid out your copyedited text in PDF format along with images, charts, and all other visual elements. Whereas a copyeditor’s area of responsibility includes grammatical and spelling errors, word choice, style, tone of voice, the logical flow of ideas, and even the overall structure of the text (depending on the level of editing requested), a proofreader has a narrower focus, looking for any grammar and spelling errors that may have slipped into the final document along with any layout-related issues, inconsistencies in graphs or charts, and critical issues with the contents of the document. In practice, many people use the terms “proofreading” and “copyediting” as synonyms. What’s most important is to share a sample of the text you’re working with so we can determine the level of copyediting or proofreading required to get the final result you’re looking for.
